CRM and sales automation

CRM and sales automation so leads stop falling through

A CRM is the system where every lead becomes a record with a stage, an owner and a next step, instead of a conversation lost on somebody phone. Fluxo implements the CRM by designing the funnel around your real sales cycle, integrates WhatsApp, site and campaigns so leads enter automatically, configures follow-up for people who went quiet, and sends sale conversions back to the ad platforms. The outcome that matters is knowing, stage by stage, where sales are being lost.

What is included

What you receive

  1. 01

A funnel designed for your cycle

Stages that reflect how your sale actually happens. A generic CRM funnel makes the team log the wrong things, and wrong data is worse than none.

  2. 02

    Automatic lead capture

Site forms, campaigns and WhatsApp land straight in the CRM with source tagged. Nobody types leads by hand, because nobody types leads by hand for long.

  3. 03

Follow-up for people who went quiet

An automated sequence for leads that stopped replying. It is the cheapest source of sales there is: people who already showed interest.

  4. 04

    Conversions sent back to ads

When a sale closes, that fact returns to the ad platform. The Google algorithm starts hunting for buyers instead of form-fillers.

  5. 05

    Routing and alerts

Leads distributed by rule, with alerts when someone sits in a stage past the agreed window.

  6. 06

    Stage-by-stage reporting

Conversion rate at each step of the funnel. That is what shows whether the problem is lead generation or sales follow-through.

Process

How we run it

  1. 1

    Map the current sale

We map how leads arrive today, who handles them, how long it takes and where they usually disappear.

  2. 2

    Design the funnel

Stages, the criteria for moving between them, and required fields. Few fields, all of them used.

  3. 3

    Integrations

Site, campaigns, WhatsApp and calendar connected. This is where the CRM stops being extra work and becomes a tool.

  4. 4

    Training and adoption

Team training plus close support in the first weeks. A CRM nobody uses is the most common outcome, and it is decided here.

The gap between the ad and the sale

Most companies investing in traffic can tell you what a lead costs, and almost none can tell you what a sale costs. The reason is always the same: the lead arrives from an ad, the conversation happens on WhatsApp, and the sale closes by word of mouth inside the team. None of that returns to the system.

Without that feedback two bad things happen. First, you optimize campaigns by cost per lead, which is the wrong metric. Second, the ad algorithm, which learns from whatever you declare as a conversion, learns to deliver form-fillers.

What changes when sales return to the platform

When the CRM tells Google that a given lead became a sale, the algorithm starts looking for people similar to buyers rather than browsers. In practice that usually lowers cost per sale even while cost per lead rises.

Why most CRM rollouts fail

CauseHow it shows upHow we avoid it
Generic funnelThe team cannot tell which stage a lead belongs inFunnel designed around the real sales cycle
Too many fieldsReps skip them and the data turns to mushOnly fields somebody uses to decide something
Manual entryLeads only appear when somebody remembersAutomatic capture from site, campaigns and WhatsApp
Leadership does not use itIt becomes paperwork with no payoffStage reporting leadership uses to make decisions

CRM, automation and AI agents

The three fit together: the AI agent answers and qualifies, the CRM records and organizes, and automation handles the repetitive work between them. You can implement only the CRM, but the larger gain appears when leads arrive pre-qualified and follow-up does not depend on anyone remembering.

Frequently asked questions

Which CRM do you implement?
We work mainly with Kommo, because of its native WhatsApp integration, which is where sales happen in Brazil. If you already use another CRM and it does the job, we implement on what you have rather than forcing a migration.
My team is small, is it worth it?
From two salespeople onward it almost always is. With a single rep the gain comes less from organization and more from automated follow-up and sending conversions back to campaigns.
How long does implementation take?
2 to 4 weeks to be running with integrations. Team adoption takes another month, which is why we stay through that period instead of delivering and disappearing.
Is the CRM licence included?
No. The licence is paid by you directly to the vendor, in your name, the same way media budget works. That keeps the account and the data under your control.
Can you migrate my customer history?
Yes, as long as it exists in an exportable format such as a spreadsheet or an export from another CRM. Loose WhatsApp conversations cannot be migrated, but customer records and deal history usually can.
