AI agents and automation

AI agents and automation for support and operations

Fluxo builds AI agents and automations that run in real customer support: a WhatsApp agent that answers frequent questions, qualifies leads with the right questions, books into your team calendar and logs everything in the CRM, handing off to a human the moment the conversation leaves what it can resolve. Automations are built in n8n with integrations to WhatsApp, CRM, spreadsheets and calendars, and documented so your team can operate them.

What is included

What you receive

  1. 01

    WhatsApp support agent

Answers frequent questions with your actual business information, not generic filler. Works outside business hours, which is when a large share of leads arrive.

  2. 02

    Qualification before the human

The agent asks what your team would ask and hands over the conversation with context attached. Sales stops spending the first hour of the day asking basics.

  3. 03

    Booking straight into the calendar

Checks availability, books and confirms. Without the message ping-pong that makes customers give up halfway.

  4. 04

    Human handoff

Explicit rules for when the agent stops and calls someone. An agent that insists on solving what it does not know destroys more value than it creates.

  5. 05

    Routine automation

Automated follow-up, stale lead alerts, reports that arrive finished, and sync between spreadsheets, CRM and calendar.

  6. 06

    Documentation and tuning

Documented workflows plus a monitoring period reading real conversations. Every agent gets things wrong in the first weeks, and that is when it gets corrected.

Process

How we run it

  1. 1

    Map current support

We read real conversations to find what repeats. Automating what nobody asks is wasted work.

  2. 2

    Scope what the agent does

We define what it resolves and, more importantly, what it does not attempt. That boundary separates a useful agent from an embarrassing one.

  3. 3

    Build and integrate

Workflow built in n8n, connected to WhatsApp, CRM and calendar, with a knowledge base drawn from your own material.

  4. 4

    Pilot and tune

Launches first on a small slice, reading real conversations and correcting before opening to all support.

An AI agent is not a decision-tree chatbot

Traditional chatbots work from numbered menus: press 1 for quotes, 2 for support. They break on the first unanticipated question, and the customer types "let me talk to a human" three messages later.

An AI agent understands the question as the person actually wrote it, consults your business knowledge base, and answers with real data. The practical difference shows up in how many conversations reach a human already resolved or already qualified.

What to automate and what not to

SituationAutomate?Why
Frequent question with a fixed answerYesHigh volume, answer never changes
Initial lead qualificationYesStandardized questions, direct time savings
SchedulingYesChecking a calendar is mechanical work
Price negotiationNoDepends on context and decision latitude
Complaint from an angry customerNoRequires judgement and authority to resolve
Complex technical diagnosisPartlyIt gathers information, a technician concludes

Why n8n

Automations are built in n8n, self-hosted, connecting WhatsApp, CRM, spreadsheets, calendars and AI models in one workflow. The advantage over closed chatbot platforms is control: the workflow is visible, versionable and not hostage to a vendor that changes pricing or retires a feature.

In practice it also makes fixes fast. When a workflow breaks you can see exactly which step stopped and what data reached it.

What this actually saves

The math that closes fastest is not headcount, it is recovered leads. A business that replies in minutes converts substantially better than one that replies the next day, and most leads arriving outside business hours simply evaporate.

The second saving is qualified time: when a conversation reaches the salesperson with the basics already collected, they serve more people per day without working longer. Recording that in the funnel is the subject of CRM and sales automation.

Frequently asked questions

Will customers know they are talking to an AI?
Yes, and we recommend making it clear. An agent pretending to be human loses trust the moment it gets something wrong, and it always eventually does. Saying it is an assistant, and that a human takes over when needed, works better.
What if the agent answers something incorrectly?
The agent is constrained to your business knowledge base and configured to say it does not know and call a human when a question leaves its scope. On top of that, we monitor real conversations in the first weeks precisely to correct what slips through.
Do I need to change my WhatsApp number?
No number change required. The integration uses the official API or a compatible bridge on the number you already advertise, preserving conversation history.
How long does it take to launch?
A support agent with qualification and booking typically takes 2 to 4 weeks including the pilot phase. Smaller automations, like stale lead alerts, are ready in days.
Does the automation keep working if I end the contract?
Yes. Workflows stay documented and running on your infrastructure, and your team is trained. What you keep paying for is evolution and maintenance, not the right to keep using it.
